Terms of service
Last updated: 7 October 2026. Draft pending legal review.
1. What you're agreeing to
By creating a Bookingsimple clinic account you (the "Clinic") agree to these terms. If you don't agree, don't create an account. If you're agreeing on behalf of an organisation, you confirm you have authority to do so.
2. What we provide
Bookingsimple provides clinic-booking, scheduling, and payment software via a hosted web service. We aim for high availability but do not currently offer a contractual uptime SLA. Maintenance windows are announced in-app where possible.
3. Free trial, plans and fees
- New clinic accounts start with a 30-day free trial. No card is required during the trial.
- At trial end, the clinic either chooses a paid plan (Solo / Duo / Team / Practice / Group) and provides payment details, or the account closes and data is exported / deleted per the privacy notice.
- Plans are priced by the number of active practitioners: anyone patients can book. Staff logins (reception, admin and others) are unlimited on every plan. Each plan has a practitioner and location limit, shown on the pricing page. To go beyond it, the clinic moves to a bigger plan; clinics with 26 or more practitioners are priced by agreement.
- Paid plans are billed in advance via Stripe, monthly or annually. An annual plan costs the same as 10 monthly payments.
- Prices are in pounds sterling, as shown on the pricing page. No VAT is charged. We are not VAT-registered. If we have to register, the prices shown will be treated as including VAT, so a clinic's price will not go up because of VAT.
- Patient-payment card-processing fees are charged by Stripe directly to the clinic — that's separate from the Bookingsimple subscription.
- We do not currently take a platform commission on patient payments. If that changes for future clinics, existing clinics will be notified at least 30 days in advance.
- Guided setup and data import is an optional one-off service at £149, free on annual plans. It is one session of up to 90 minutes, arranged with the clinic.
4. Text messages
- One text is one SMS segment: up to 160 standard characters. Longer messages are sent in parts of up to 153 characters, and each part counts as one text. Emoji and some special characters switch a message to a format that holds 70 characters (67 per part).
- Each plan includes a number of texts a month, shown on the pricing page. Included texts are used first, reset every month, do not roll over and have no cash value.
- Text packs are paid for in advance and used after the included texts. Bought texts never expire while the account is open. They are not refundable, except where the law requires. We may change pack prices with 30 days' notice; texts already bought are not affected.
- Auto top-up is off unless the clinic turns it on. When on, we buy the clinic's chosen pack, charged to the card that pays for its plan, whenever it has fewer than 50 texts left, up to 2 packs a calendar month unless the clinic changes that limit. The clinic can turn it off at any time.
- When a clinic runs out of texts, text messages pause and email confirmations and reminders carry on. We never bill for texts the clinic hasn't paid for in advance.
- Texts are for appointment messages to the clinic's own patients only, not marketing.
5. Founding offer
- The founding offer is open to the first 50 clinics to start a paid plan, until 31 March 2027, whichever comes first. It is applied automatically at checkout while places remain. One offer per clinic.
- Monthly billing: 50% off the plan price for the first 3 monthly payments. Annual billing: the usual 2 months free and free guided setup and data import; the monthly discount does not apply on top.
- Every founding clinic also gets 200 bonus texts, added once. They never expire while the account is open.
- The list price of the clinic's plan is locked for 24 months from the start of its paid subscription, while the subscription stays active. After that, normal prices apply, and we will give at least 60 days' notice of any change.
- Text packs and add-ons are not discounted.
6. Clinic responsibilities
- Keep clinic-user login credentials secure. Each staff member should have their own account.
- Configure payment, refund and no-show policies in line with applicable law and your professional obligations. The default consent text for no-show charging is a template; you must review it with your own legal / regulatory advisor before turning on charging the full price for a no-show.
- Tell patients what you do with their data. We provide the tools; the clinic is the data controller for its patients.
- Don't use the service for anything illegal, abusive, or outside its intended clinic-bookings purpose.
7. Data ownership and export
The Clinic owns its data. On request — at any time, and when you cancel — we'll export your patients, services, locations, schedule and appointment history and send them to you within 5 working days. We hold copies only as described in the privacy notice.
8. Payments and refunds (between clinic and patient)
Payments are processed by Stripe. Funds settle to the clinic's Stripe account; we never hold patient money. Refunds, chargebacks and disputes are between the clinic and the patient, with Stripe identifying the clinic as the merchant.
The clinic is responsible for its own refund and cancellation policy and for honouring it.
9. Our liability
We provide the service "as is". To the extent allowed by law, our liability under these terms is limited to the fees the Clinic paid us in the 12 months before the event giving rise to the claim. We do not exclude liability that cannot lawfully be excluded.
10. Suspending or closing an account
We may suspend or close an account if a clinic seriously breaches these terms (e.g. fraud, abuse) or stops paying. We will give reasonable notice where the circumstances allow.
The clinic can close its account at any time from the billing page. For 30 days after closing, we'll send you an export of your data on request (within 5 working days); after that we delete it (subject to the retention carve-outs in the privacy notice).
11. Changes to these terms
We'll post material changes here and email clinics at least 14 days before they take effect. Continued use of the service after that constitutes acceptance.
12. Governing law
These terms are governed by the laws of England and Wales. Disputes will be resolved in the courts of England and Wales.
